What does wedding bus hire in Barcelona include?
It includes a vehicle and a professional driver for the hours you book, running a timetable you set: hotel to ceremony, ceremony to reception, reception back to the hotels. The price is for the vehicle, not per guest, and it includes VAT.
A wedding with guests from abroad has a transport problem that the couple rarely see coming. Guests stay in two or three hotels, the ceremony is in one place and the reception in another, and everyone has to be on time. Wedding bus hire in Barcelona solves it with a shuttle: one vehicle, one driver, a clear plan. My home page on bus hire in Barcelona shows the whole fleet and how a booking works.
Send the wedding date, the venues and the number of guests in the quote form and I reply with a vehicle and a price. The form is at the bottom of the page.
What a wedding shuttle does
The vehicle and the driver stay with your wedding party for the hours you book. A typical plan has three legs:
- Hotel to ceremony. Guests board at their hotel and arrive together.
- Ceremony to reception. The driver moves the guests while the couple take photographs.
- Reception to hotel. At the end of the evening, guests return in one or two runs.
Between legs, the driver waits nearby, so you do not need to book each journey separately. Waiting counts as booked hours, and I will say so plainly in the quote.
How many guests fit in one vehicle?
One vehicle per hotel group is the usual rule, and the size follows the guest list. Count the guests who will actually board, then add a margin for plus-ones who confirm late.
| Guests to move | Vehicle | Seats | 8 hours at your disposal | Each additional hour |
|---|---|---|---|---|
| Close family, a small party | Mercedes V-Class | up to 7 | €630 | €80 |
| Family and friends, one hotel | Mercedes Sprinter | up to 16 | €785 | €90 |
| Mid-size wedding | Minibus | up to 33 | €900 | €110 |
| Large guest list | Coach | up to 60 | €900 | €110 |
For a guest list above 60, run two vehicles. I would also suggest two vehicles when the hotels are far from each other, so that nobody spends half an hour on a pick-up route. The minibus and the coach have the same hourly rate, so a wedding of 30 guests with large bags and wedding clothes may be more comfortable in the coach. If you need a small car for the couple, see private driver in Barcelona. For vehicle sizes, read more on minibus hire, the 30-seater minibus and the 50-seater coach.
How much does wedding bus hire in Barcelona cost?
Hire is by the hour with a driver at your disposal. All prices are in euros and include VAT. The minimum is 6 hours per day and there is no maximum.
The rates are in the table above: €785 for 8 hours in the Sprinter, €900 in the minibus and €900 in the coach, with each additional hour at €90, €110 and €110. The price is for the vehicle, not per guest, so it does not change if five more guests confirm. A wedding day often runs long, so plan for extra hours if the reception ends late.
Other dates, destinations outside the table and several days are quoted on request. I do not publish a “from” price for these, because the figure depends on the plan. The prices page shows the airport and hourly rows together.
How to compare quotes
When couples compare quotes, they often compare a price for a night with a price per hour, and the numbers look very different. Ask every company three questions: how many hours does the price cover, is VAT included, and what happens if the evening runs late. For me the answers are the hours you book, yes, and the extra hours at the hourly rate in the table.
Do you offer a decorated or luxury wedding bus?
No. I do not run a decorated, limousine-style or party vehicle. My fleet is a V-Class, a Sprinter, a minibus and a coach, all standard passenger vehicles with a professional driver.
Many of the searches for wedding buses in Barcelona are for exactly that: ribbons, a sound system or a bar for the journey. If that is what you want, a specialist operator is the right company. What I offer is the part of the day that most often goes wrong: getting 20 or 40 guests to the right place at the right time and home again afterwards. If you want ribbons or flowers on the vehicle, talk to your florist and agree it with me before the day. For a less formal celebration, such as a stag or hen weekend, read party bus Barcelona for how I handle that.
How do I build the shuttle timetable?
A good shuttle plan is mostly a timetable. Here is how I help couples build one.
Collect the hotel list
Send me every hotel with its address and the number of guests staying there. If guests are in three hotels, I may suggest two stops on the way to the ceremony, or one vehicle per hotel. A hotel on a narrow street may not be a place where a coach can stop, so I tell you where the vehicle can wait.
Set the times backwards
Start with the ceremony time and work back. Allow time to board, to drive and to park, and add a buffer for the late guests. I do not state drive times for your route until I have the addresses. A wedding that starts late because of a missing bus is a worse start than a ceremony with ten minutes of spare time.
Plan the return
Guests leave a reception at different times. A common solution is two returns: one earlier for older guests and families with children, and one at the end of the night. Tell me what you prefer and I price the extra hours.
Does a civil ceremony in Barcelona change the timetable?
It can, because civil ceremonies run to the venue’s own calendar and not to yours. If you marry at Barcelona City Hall, the Saló de Cent page of the city council says that weddings take place on Friday afternoons and Saturday mornings, except in the last week of each month, and not in August.
The same page gives the Friday slots as 5, 6, 7 and 8 pm and the Saturday slots as 11 am, 12 noon, 1 pm and 2 pm. The room holds 250 people, it is adapted for people with limited mobility, ceremonies are held in Catalan and Spanish, and a ceremony lasts about thirty minutes. Plaça de Sant Jaume is in the old town, so a coach needs a planned stopping point; I tell you where the vehicle can wait once I have your slot.
What this means for transport:
- Fixed slot, no flexibility. The guests have to be at the door before the slot, so the pick-up time is set backwards from it.
- A short ceremony. About thirty minutes means the vehicle waits for a short time, then the group moves on to the reception. The waiting is counted as booked hours.
- A late afternoon or evening slot. The reception follows, and the last return may be after midnight, which affects the hours. See the section on driver hours below.
If you marry in a private venue, the venue’s rules apply. Check them with the venue, and send me the address.
What about a wedding outside the city?
Many couples choose a venue in the countryside or on the coast, which makes a vehicle even more useful: guests do not drive after the party, and nobody searches for a taxi in a village. The Catalonia tourism site lists regions and places, and Visit Barcelona covers the city. For the Costa Brava, see Costa Brava bus hire.
For a country venue, send me the address and I quote it on request. Tell me whether guests sleep at the venue or return to Barcelona, because the answer changes the number of hours. If the return is late at night, I say so in the quote.
How many hours can a driver work on a wedding day?
A driver cannot work an unlimited day, and a wedding with a late return is the case where it matters. For vehicles with 10 or more seats including the driver, which covers the Sprinter, the minibus and the coach, EU rules apply. Your Europe describes the rules as covering a bus or coach with 10 or more seats, including the driver. The V-Class is outside that definition.
The European Commission page on driving time and rest periods says that daily driving may not exceed 9 hours, extendable to 10 hours twice a week, that a break of at least 45 minutes is required after 4.5 hours of driving at the latest, and that the daily rest is at least 11 hours.
A shuttle in the city spends most of its hours waiting, not driving, so a normal wedding fits. A wedding that includes an early morning drive to the coast, a long ceremony day and a midnight return to Barcelona may not. Send me the full programme, including the second day if there is a brunch, and I tell you honestly whether one driver can do it.
Can the airport transfer be part of the booking?
Yes. Guests arriving from abroad often land within a few hours of each other, and I can collect a group at the airport and take it to the hotel. Barcelona Airport (El Prat) to or from Barcelona is €200 in the Sprinter, €320 in the minibus and €320 in the coach, for the vehicle and not per person.
Terminal information is on the Aena airport page, and I explain how I plan an arrival on the airport bus hire page. Send the flight times of the group. Guests who land at different hours may be better served by two runs than by one long wait at the airport.
Which practical points do couples forget?
Weddings are emotional, and the practical details are the part that can go wrong. These are the points I raise with couples and planners.
- A named contact. Give me one person who is available on the day, usually a planner or a best man, and who knows the timetable.
- A boarding point. Choose a clear spot at each hotel and tell the guests exactly where to stand.
- Luggage. If guests arrive on the day before or after, tell me about their cases.
- Mobility. Tell me about guests who need extra time or help boarding, so the pick-up is planned for them.
- Dresses and suits. Guests in formal clothes board more slowly and need a short walk to the door; add a few minutes to each stop.
- Photographs. If the couple wants photographs on the way, add the time to the plan, and extra hours are charged at the hourly rate.
What does a sample plan for a mid-size wedding look like?
Here is an example, so you can see how the hours add up without counting it as a price.
- Guests are collected from two hotels before the ceremony.
- The vehicle waits during the ceremony.
- Guests move to the reception, and the driver rests nearby.
- At the end of the evening, a first return runs for families and older guests.
- A second return leaves at the end of the party.
With a plan like this, you know the hours the vehicle is needed before you ask for the quote, and I can give a precise price. For a larger event, a second vehicle can run the same plan from a different hotel. You can see more on bus with driver and coach hire.
What should I send for a quote?
- the wedding date and the venue addresses
- the hotels and the number of guests in each
- the times of the ceremony and the reception
- the number of vehicles you think you need
- whether you need an airport transfer on the day before or after
- the name and phone number of the person who runs the day
How to book
- Use the quote form below, or the contact page.
- Enter the date, the venues, the hotels and the number of guests.
- I reply by e-mail or WhatsApp with the vehicle and the price in euros, VAT included.
- You confirm, and I send the timetable for the day.
