How does school trip coach hire in Barcelona work?
School trip coach hire in Barcelona is one vehicle and one driver at your disposal for the hours of your programme. You choose the stops and the order, the driver follows the plan, and the price is for the whole vehicle, not per pupil. A Sprinter for up to 16 passengers costs €785 for 8 hours, and the minibus for up to 33 or the coach for up to 60 costs €900, VAT included.
Send the date, the numbers and the programme in the quote form and I reply with the vehicle and the price. If you want to see the whole fleet before you decide, my home page on bus hire in Barcelona shows it.
It is a scheduling job before it is a vehicle job. A teacher needs to know who sits where, when the group is back and what happens if a visit overruns. I answer those questions first, then give the price from the table. The same booking covers sport teams: a junior football squad travelling to a match, a basketball club at a tournament or a school team on an exchange. A team arrives with kit bags and has a kick-off time that does not move, which is the main difference from a class trip.
What does a coach for a school trip cost?
The table below is the part of my price list that school and club groups use, in euros, VAT included. The columns are the vehicle, its seats, the price of a driver at your disposal for 8 hours and the price of each extra hour.
| Vehicle | Passengers | Driver, 8 hours | Each additional hour |
|---|---|---|---|
| Mercedes V-Class | up to 7 | €630 | €80 |
| Mercedes Sprinter minibus | up to 16 | €785 | €90 |
| Minibus | up to 33 | €900 | €110 |
| Coach | up to 60 | €900 | €110 |
Hire by the hour has a 6-hour minimum per day and no maximum. A morning visit and a lunch may fit inside the minimum. A programme that runs from the first lesson hour until the evening is better planned as the 8-hour price plus extra hours at the rate for your vehicle. Several days, an exchange week or a tour that starts in another town are quoted on request, because the right figure depends on the dates and the route.
The minibus and the coach cost the same for 8 hours. So a class of 28 with two teachers does not save money by choosing the smaller vehicle, and the coach gives the group more room for bags. The full list of rows, including the airport and the longer routes, is on the price page.
Which size of vehicle does a class or a team need?
Count everyone who needs a seat: pupils, teachers, parent helpers, and for a team the coaches, the referees travelling with you and the physio. Then compare that number with the seats, and add the luggage. The seat count is a hard limit.
- Up to 7: the V-Class, for a small delegation, a visiting head teacher and colleagues, or a few players with staff.
- Up to 16: the Sprinter minibus, good for a class half, a small team or a music group.
- Up to 33: the minibus, for a full class or a squad. The 30-seater minibus page explains how this size works.
- Up to 60: the coach, for two classes together, a year group or a large delegation.
If your group is a few over a vehicle’s limit, do not squeeze. A second vehicle may be better, or a step up to the next size. Two vehicles also help when a school wants to keep classes separate, because each teacher then travels with their own pupils. I advise on the split when you send the numbers.
What do teachers have to prepare before the day?
A short list saves several e-mails. I need the following, and I would also ask the school to have the same list at the gate on the morning:
- the date and the school address, with the exact gate or street where the vehicle can stop
- the number of pupils and the number of adults
- the places to visit and the time slot booked at each one
- the time the group must be back
- any pupil who needs help boarding, and any wheelchair or pushchair
- the amount of luggage, bags, instruments or sports kit
- a mobile number for the teacher in charge on the day
The most useful item is the last one. The driver and the teacher in charge need a direct line, because a venue entrance, a queue or a lost pupil changes the plan in minutes. Agree the phone numbers when the booking is confirmed, and keep them to hand.
How do I plan a school day around a coach?
Pick-up at the school
Tell me the address and the time the group can really be ready. Counting pupils, handing out lunch bags and settling a class takes time, and a vehicle parked in a narrow street with a full group on the pavement is a bad start. I plan the pick-up window around that margin. If the school gate is on a busy road, give me an alternative street.
Entrance times and waiting
Museums, stadiums and attractions work with booked time slots, and queues build at the start of the day. I do not publish their opening hours because they change. Check the venue’s own page, then send me the slot and I build the vehicle’s day around it. The driver waits during the visit, so the group does not need to find the vehicle in a car park.
At busy tourist sites in the city centre, a coach cannot simply stop where it likes. The Barcelona city council’s page on Zona Bus 4.0 says that advance booking is required for brief pick-up and drop-off stops in busy tourist areas, and that tourist coaches need a daily permit to operate in central Barcelona. That is the operator’s job, not the teacher’s, but it is a reason to send me the visit list early: the stop is arranged before the day.
Lunch and rest stops
Most trips include a lunch break. If the vehicle waits, the waiting hours are part of the booked hours, and I show them in the quote. If you prefer the driver to leave and return later, say so, and I plan the hours accordingly. Groups with a packed lunch usually eat near the attraction, so the vehicle’s role at midday is storing coats and bags.
The return
For a trip with a deadline, such as the time parents collect children, I schedule the drive back with a margin. The programme should end before the latest acceptable return, not at it. Traffic leaving the city in the afternoon is the usual cause of late returns.
Which places do schools visit, and what should they check?
The usual day trips from a Barcelona school or hotel are the Sagrada Família, Montjuïc and the city centre, then Montserrat, Girona, Figueres and PortAventura further out. For schools visiting the Sagrada Família, the basilica’s official page for student group guided tours says that tickets must be booked at least 15 days in advance and paid in full 15 days before the visit, that one teacher enters free for each group of 15 schoolchildren, and that bookings are made by e-mail. The same page warns that tours and spaces open to visitors may change or close, so confirm the details before you fix the vehicle.
For a trip outside the city, the day gets longer, and the route pages show the details: Montserrat and PortAventura are the usual choices, with Girona and Figueres for a full day. Montserrat has a schools page that lists programmes for primary, secondary and high school groups, including a nature visit by funicular, so check what suits the age of your class before you fix the date. Longer trips are quoted on request.
If you plan a language exchange or a multi-city tour, the coach hire in Catalonia page explains how I price routes that leave Barcelona.
How are sport teams different from school classes?
A team needs load space more than seats. Kit bags, balls, a medical bag and sometimes goalposts take volume. A Sprinter with 12 players and their bags can be more comfortable than a minibus full to the last seat, and I explain the options when I see the numbers.
For a tournament weekend, the driver can stay with the team for the days required. The match times set the hours: warm-up, kick-off, the final whistle and the time the players need to shower and eat. If the draw changes the schedule, tell me as soon as you know, and I adjust. For a club that travels regularly, the page on sports team bus hire covers the same service from the club’s side.
Teams also arrive by plane. A squad that lands at the airport with kit bags is easiest to handle with one coach and one head count. The fixed airport rows are on the airport bus hire page, and the cruise port is priced like the airport.
What does the law say about driver hours on long school trips?
European Union driving-time rules limit how long a driver can work, and they matter on a long day with a school group. The European Commission’s page on driving time and rest periods sets out that the daily driving period must not exceed 9 hours, with an extension to 10 hours twice a week, and that a break of at least 45 minutes is required after 4.5 hours of driving at the latest. In my vehicles these rules apply to the Sprinter, the minibus and the coach, which carry more than 9 passengers; the V-Class falls outside them.
For a school, this means a day that mixes a long drive, long waiting and a late return needs planning. The waiting time between visits is not driving, but the schedule still has to leave room for the breaks. If your programme is full, I will tell you before you confirm and suggest a shorter plan.
What about safety, seat belts and paperwork?
I only state what I can document, and I do not list safety certificates on this page. For groups with minors, your school or federation sets the rules on authorisations and supervision, and the teacher in charge remains responsible for the pupils.
On seat belts, the Spanish traffic authority’s guidance on school transport tells pupils to stay seated with the belt on, if the vehicle has one fitted. That is a good rule to repeat to the class at the door. If your school requires belts on every seat, write it in the form, and I confirm it for the vehicle before I quote.
For general guidance on rules in Catalonia, the Catalan Government site is the place to start. I handle the transport and the schedule.
Can a school group arrive by plane or cruise ship?
Yes, and it is a common request for exchange and tour groups. The airport row applies to a transfer between Barcelona-El Prat and the city: €200 in the Sprinter and €320 in the minibus or the coach, with €80 for the V-Class, all VAT included. The cruise port is priced exactly like the airport.
Airport details change by terminal, so I ask for the flight number and the terminal when you book. The airport’s own bus information page lists the stops for occasional group buses at both terminals, and I send the meeting point before the group flies. A teacher with 30 pupils and 30 suitcases wants one clear point and one vehicle, not a search for the right door.
How do I compare a quote for school trip coach hire?
Quotes from different companies look different, so ask the same questions of each:
- Is the price for the vehicle or per pupil?
- How many hours does it cover, and what is the charge for each extra hour?
- Does the price include VAT?
- How many seats does the vehicle have, and does that count the driver’s and guide’s seats?
- What happens if the programme runs late?
My answers are on this page: the price is for the vehicle, the hours are in the table, extra hours are charged at the hourly rate, VAT is included, and the seat counts are those of the passengers. A fixed rate per hour means the teacher knows before the day starts what a late finish costs, so nobody has to negotiate at the museum door.
How to book
- Open the quote form below or the contact page.
- Enter the date, the school or hotel pick-up address and the programme with its times.
- Give the number of pupils and adults, and the amount of luggage or equipment.
- State the time the group must be back.
- I reply by e-mail or WhatsApp with the vehicle I suggest and the price.
If the programme is not final, send the draft. I can adjust the hours when the visit times are confirmed.
