How do I choose a vehicle for a sports team?

Count the people first and the kit second, then pick the smallest vehicle that holds both with a margin. A common mistake is to count players only: coaches, physios, managers, parents and a team photographer all need a seat.

That is the job of sports team bus hire in Barcelona: one vehicle, one driver and one plan for a group that has to arrive at the same pitch at the same minute. I work with clubs, school teams and tournament groups, and this page covers how I size a vehicle, what the fixed prices are, how a match day runs and what to send for a quote. My home page on bus hire in Barcelona shows the whole fleet.

Send the date, the number of people and the venue in the quote form and I reply with a vehicle and a price. The form is at the bottom of the page.

Seats, not just players

Party Vehicle Seats 8 hours at your disposal Each additional hour
A head coach with a small delegation Mercedes V-Class up to 7 €630 €80
Basketball, volleyball or a youth side with staff Mercedes Sprinter up to 16 €785 €90
Football squad with staff and a few parents Minibus up to 33 €900 €110
Two teams, several age groups or a club with supporters Coach up to 60 €900 €110

For a youth side of 11 to 14 with a couple of adults, the Sprinter is enough, and I would choose it for the easier parking at small sports grounds. For a full football squad plus staff, the minibus keeps everyone in one place. Read more on the 30-seater minibus and the 50-seater coach pages, and on the Sprinter minibus for the smallest group vehicle.

The minibus and the coach have the same hourly rate. A squad of 28 may therefore be better in the coach if the kit is bulky, and I will say so when I see the list. All prices are in euros, include VAT and are for the vehicle, not per player.

How much does sports team bus hire cost in Barcelona?

Hire is by the hour with the driver at your disposal. The rates are in the table above: €785 for 8 hours in the Sprinter, €900 in the minibus and €900 in the coach, with extra hours at €90, €110 and €110. The minimum is 6 hours per day and there is no maximum.

Clubs usually ask for the cost first, and often for a price per player to share with parents. I quote one price for the vehicle and I do not split it per person, because the price does not change when one more player comes. What matters for a team budget is the number of hours. Arrive early, wait during the match, stop for lunch and drive back, and the hours add up.

A few ways to keep a team budget under control:

  • book the hours of the match day, not the whole day
  • combine the airport transfer and the match transfer in one booking
  • choose the Sprinter for a squad of up to 16 instead of a larger vehicle
  • tell me the match and warm-up times early, so that I plan around them and you avoid long waits that are paid at the hourly rate
  • decide in advance whether the vehicle waits at the ground or returns later

Other destinations, several days and special dates are quoted on request. The prices page shows the airport and hourly rows together.

What does a match day look like with a team bus?

A match day is a chain of fixed times, and the driver’s job is to keep the chain from breaking. You can change any step, and I suggest writing the times down before the day.

  1. Hotel to ground. The driver collects the squad at the agreed time, loads the kit and takes the team to the venue. The time you set is the time the vehicle is at the door, not the time the team leaves.
  2. Wait. The driver stays near the venue during warm-up and the match. You do not need to book a return vehicle in advance.
  3. Ground to meal. After the match the driver takes the team to a meal or back to the hotel.
  4. Evening. If the plan includes a dinner or a visit, extra hours are charged at the hourly rate shown.

Two practical points. First, ask the organiser where a coach may stop at the ground, because small clubs and city pitches often have a narrow street and a car park for cars only. Send me the venue address and I tell you where the vehicle can wait. Second, name one person in the team as the contact for the driver: a manager or a coach with a phone, not twenty players.

How do I count the kit and the equipment?

List everything that travels, not only the bags. Teams carry more than they think: kit bags, ball sacks, cones, medical kits, water containers and, for some sports, large pieces of equipment such as goals, hurdles or protective gear.

Put the count in the quote request: the number of bags, the biggest single item and whether anything must stay upright. A coach has the largest hold, a minibus has a smaller luggage area and the Sprinter has the least space, so the equipment sometimes decides the vehicle more than the head count. If the kit does not fit with the full squad, the honest options are a bigger vehicle or a second vehicle for the equipment, and I put both on the quote so that you can compare.

A squad that travels with a lot of kit should also decide how it loads. Kit bags go in first, in the order of the stops, and the equipment that is needed first at the ground goes in last. It is a small thing, and it saves ten minutes at every stop.

Can I collect a visiting team from the airport?

Yes. Visiting teams usually arrive in one group, with all their kit, and a single vehicle from the arrivals hall to the hotel is the simplest start to a trip. The airport transfer is a fixed price: Barcelona Airport (El Prat) to or from Barcelona is €200 in the Sprinter, €320 in the minibus and €320 in the coach, for the vehicle and not per person.

Terminal information is on the Aena airport page. Send the flight number and the landing time. For the return, give the flight time and tell me how early the team likes to be at the airport; teams with kit and a group check-in often want more time than a family. See also airport bus hire for how I plan an arrival.

If the team is split over two flights, tell me both times. Whether one vehicle makes two runs or two vehicles wait is a decision for the quote.

What about tournaments and training camps?

For a tournament across several days, tell me the dates and the match schedule and I plan the same driver and vehicle where possible. Several days are quoted on request, because the programme decides the hours. Typical requests are:

  • a pre-season camp with transfers between the hotel, a training ground and the beach
  • a youth tournament with several teams on different days
  • an away match in another town, such as Girona or Tarragona, see Barcelona to Girona by minibus and Barcelona to Tarragona
  • a day at a big venue, such as the Olympic Stadium on Montjuïc, which Barcelona’s tourist office describes as built for the 1929 International Exhibition and transformed for the 1992 Olympic Games

For large venues, rules for vehicles, parking and drop-off belong to the venue and the organiser. I do not state them; ask the organiser for the access point for a coach and send it to me. If your group is going to a motorsport event, the Circuit de Barcelona-Catalunya publishes its calendar at circuitcat.com, and supporters’ groups can book a vehicle for the day in the same way.

How many hours can a team driver work in a day?

A driver has legal limits, and they decide how I plan a long away trip. For vehicles with 10 or more seats including the driver, which covers the Sprinter, the minibus and the coach, EU rules apply. Your Europe describes them as covering a bus or coach with 10 or more seats, including the driver. The V-Class is outside that definition.

The European Commission page on driving time and rest periods states that daily driving may not exceed 9 hours, extendable to 10 hours twice a week, and that breaks of at least 45 minutes must be taken after 4.5 hours of driving at the latest. Daily rest is at least 11 hours.

In practice, that means three things for a team. A long away match with a late return needs a realistic schedule, because the driver cannot simply extend the day. A tournament over several days needs a day where the driver rests, or a second driver, and I put that on the quote. And a squad that wants to leave straight after the final whistle should build the journey time and the break into the plan. Tell me the whole programme and I say honestly whether one driver can do it.

What about youth teams and supervision?

For a youth team, the adults travelling with the children matter as much as the vehicle. Send me the number of children, the number of adults and the age group. The driver is a professional driver, and supervision of the children stays with the team’s staff: coaches, parents and managers.

Practical points that groups sometimes forget:

  • agree the boarding point and a headcount at every stop, so no child is left at a venue
  • keep the kit bags with an adult who knows what is in each of them
  • tell the group where the vehicle waits at the ground, so that children know where to go after the match
  • if the team is from abroad, give me the hotel address and the name of a local contact

My schools and sports teams page covers school groups and youth trips in more detail.

What if the club also wants a vehicle for supporters?

If the same club also travels as spectators, or the school has a trip the next day, I can plan both bookings together. A common set-up is a minibus for the team and a coach for the parents and supporters, on the same timetable with the same drop-off point. For larger groups see coach hire in Barcelona.

Supporters’ vehicles are priced in the same table. The difference is the plan: spectators arrive earlier and leave later than the team, so the hours are different, and I quote the two vehicles separately.

Which planning mistakes cost a team time?

Most of the delays I plan around are not about the road. They are about the people and the bags, and a few habits remove nearly all of them.

  • Leaving the departure time vague. “Around nine” becomes 9:25 with 20 players. Give a time for the vehicle at the door and a different, earlier time for the squad in the lobby.
  • Forgetting the late arrival. A player who joins from another city, or a parent who drives separately, should have the venue address and not just the hotel name.
  • Counting the bags once. Count them when they go in and again before the vehicle leaves the ground. Kit left at a pitch is the most common loss.
  • Assuming the vehicle can stop at the gate. Check the access point with the organiser, as above.
  • Booking too few hours. If the match can go to extra time or the prize-giving runs late, ask for the hours with a margin, because extra hours are charged at the rate in the table and a short booking can leave the team waiting for another vehicle.

A written timetable that every adult in the group has, with the driver’s contact on it, removes the rest.

What should I send for a quote?

To make the quote fast, include these details:

  • the number of players, staff and parents travelling
  • the number of kit bags and any large equipment
  • the pick-up address and time
  • the venue address and, if possible, the match or training time
  • whether you need the driver to wait during the match
  • the date or dates, and whether there is a flight on either end
  • a name and a phone number for the person who runs the day

How to book

  1. Use the quote form below, or the contact page.
  2. Enter the date, the pick-up place, the venue and the group size.
  3. I reply by e-mail or WhatsApp with the vehicle and the price in euros, VAT included.
  4. You confirm the vehicle and the pick-up time, and the booking is made.

If you are not sure between the minibus and the coach, send both sizes in the request and compare the two quotes.

Frequently asked questions

How much does team bus hire cost in Barcelona?

A driver at your disposal for 8 hours is €785 in the Sprinter, €900 in the minibus and €900 in the coach, and €630 in the V-Class for a small party. Each additional hour is €90, €110, €110 and €80 respectively. The minimum is 6 hours per day and prices include VAT.

Which vehicle fits a football squad?

A squad of 18 to 25 players with staff fits the minibus, which takes up to 33. A club travelling with two age groups, or with parents, usually needs the coach, which takes up to 60. Send me the numbers and the kit and I suggest the vehicle.

Can the bus carry kit bags and equipment?

Yes, within what fits in the vehicle. List the kit bags and any large equipment in the form so that I can check the space before I confirm. A coach has the largest hold and a Sprinter the smallest, so equipment sometimes decides the vehicle before the headcount does.

Can you collect a team from Barcelona airport?

Yes. The airport (El Prat) to or from Barcelona is €200 in the Sprinter, €320 in the minibus and €320 in the coach, VAT included. Send the flight number, the landing time and the group size.

Can you drive us to a tournament outside Barcelona?

Yes. A destination outside my table is quoted on request, or you can book by the hour with a driver at your disposal. Send the venue address, the match schedule and the dates.

Can the driver wait during the match?

Yes. With a driver at your disposal, the vehicle and the driver stay with your team for the hours booked, including waiting at the ground. Waiting time counts as booked hours.
